Supplying Pool of Diverse Testers for Next-Gen Car Feature Technology

Challenge/Task

A German luxury car manufacturer needed hundreds of on-site participants to support their engineers in testing next-gen car feature technology. A most demanding brief: 440 participants for 550 sessions over a duration of 25 weeks. Participant criteria: hyper-specific of course—6 supra-categories, 30 categories and 4 sub-categories—to match precise research needs each week.

Approach/Solution

This wasn’t business as usual; we knew we needed a dream team of hybrid project-customer-experience-talent-and-community managers. We pulled our internal Aces from Rheinschrift and hired external expert reinforcement. We rapidly customized our existing tech stack to process hundreds of candidates’ data and established a robust yet agile workflow. We adjusted as needed and fine-tuned on the go.

The result: we fulfilled the challenging brief and quickly got ahead, scheduling the needed participant sessions several weeks in advance.

Video & Audio Data Collection: Testing (German) Features for Tech Giant’s Online Meeting Tool

Challenge/Task

An American multinational tech corporation needed to test new features (newly localized into German) of their online video calling, e-meeting and e-conferencing tool. To achieve this, they needed good, bespoke German data. Thus, a reliable pool of German natives—to carry out a variety of meetings, in various participant configurations—employing a myriad of the tool’s new functions.

For the data to be useful, the meetings needed to adhere to the following criteria:

  • Cameras on, this is a video tool after all
  • Each meeting needed to have a specific number of moderators and attendees
  • The participants needed to assume (or play) different characters, from “software engineer” to “club manager”
  • The participants needed to enact different scenarios, from “planning a tradeshow” to “conducting an interview”

Simple enough. What made this project enter the challenging territory is that the meetings needed to be recurring and follow the logical “plot” of a given scenario (i.e.: how to plan a trade show from A to Z and debrief after the fact)—and involve an ever-increasing number of participants.

For a period of five weeks, we ran 20 meetings in parallel per day, composed of a selected roster of 60 participants.

Approach/Solution

Data collection projects are large by default, with complex setups and precise deliverables and they necessitate an almost obsessive level of organization and coordination between (internal and external) teams. We know this. This project was no exception. But what if we told you that human connection and (theatre-style) improv were the secret sauce here?

Let’s start with the former. So that the scheduling and hectic re-placing (when a participant cancelled for reasons X or Y) remained backstage with our stellar Production and Vendor Relations teams, the project needed an anchor—someone for whom being relaxed was part of the job spec.

This we found in our internal Language Leads who enthusiastically took on the role of moderators and showed up to each meeting (preparatory and live ones) oozing positivity. This helped the participants feel relaxed and therefore give their absolute best performances. The enthusiasm became contagious and soon enough everybody was having so much fun playing pretend.

We weren’t surprised that we delivered the requested deliverables, but we must admit we were a little taken aback by the sheer amount of positive feedback we received from participants who absolutely loved working on this project.

Benefit for the client

Our client received top-tier, reliable data to assure the success of their German roll-out. Furthermore, given the manner in which Rheinschrift activated and engaged our external teams, the client now has a reliable pool of German-native testers who are invested in their product and are eager to support with any future testing.

Where others might have burnt through resources, due to the intensity, we created lasting connections.
